Dial-in Teleconferencing (Mitel AWC)

The IT, Media & Classroom Services Mitel AWC Project is a three phase project aiming to provide a complete audio and web conference solution for all faculty and staff at UBC's Okanagan campus.

What is Mitel AWC?

Mitel Audio and Web Conferencing (AWC; formerly Inter-Tel Audio and Web Conferencing) is a simple, cost-effective and scalable audio and web conferencing solution. AWC supports up to 200 (UBC Okanagan is currently licensed for 26) audio and web conferencing ports and is the perfect solution for connecting people together quickly and simply, regardless of their location.

How do I get access?

Submit a ticket at www.ubc.ca/okanagan/helpdesk with a Request Type of "Request a Phone/Video Conference". You will need to provide us with the date, time, duration, department or project name, speedchart (only charged in case of loss or damaged equipment), and number of phone lines required (including yourself). Currently the server is restricted to a total 26 participants at any one time.

MINIMUM NOTICE REQUIRED:

Phone Conferences required a minimum of two business days notices with normal business hours being Monday through Friday from 8 a.m. to 4 p.m.

Your conference is not confirmed until you have received notification from IT, Media and Classroom Services.

What is the cost?

Currently there is no cost in using the conferencing system but this may be subject to change.

Can Departments/Project Purchase their own Ports?

If your department or project would like ongoing and unrestricted access to a certain number of ports we can arrange to purchase additional bulk licensing to accommodate your needs. As of this writing the estimated cost is approximately $3500 for 10 licenses. Please submit a work order to IT, Media & Classroom Services to obtain an official quote.

How to use the teleconference system?

Once you have successfully submitted a work order to IT, Media & Classroom Services your request will be processed within two business days at which time you will receive confirmation of your conference along with access codes. Once you have received your access codes you can contact the various parties involved and simply have them dial one of appropriate phone numbers listed below and enter in the access code when prompted.

If you required a wireless conference phone IT does have loaner conference phones available for pickup and can be requested at the time of submitting the work order.

What is the Project Roadmap?

IT, Media & Classroom Services will be releasing the Mitel AWC product in three phases.

  • Phase 1: March 1, 2011 Campus wide release of teleconferencing services provided through the work order system
  • Phase 2: March 1, 2012 Ability for select users or groups to manage their own bookings using the Mitel AWC web management software
  • Phase 3: September 1, 2012 Campus wide release of both audio and web conferencing services
