Application Process

Before applying for a Work Study or Work Learn job, please read and understand the responsibilities of a student working in the work study or work learn program.  Also please check the eligibility and posting criteria to ensure that you qualify.  Then, follow the steps below to find a Work Study or Work Learn job.  Summer session positions will be posted starting in April and Winter session positions will be posted starting in August. 

Student Responsibilities

Students are expected to perform their assignments in a mature and responsible manner. You will be required to comply with the directions of your supervisor(s). Students who fail to perform in a satisfactory manner may be removed from their assignment.

Any student who accepts a job:

  • Should meet with their supervisor to discuss schedule and job expectations.
  • Is always expected to give regular, punctual, and efficient performance.
  • Agrees to remain on the job for the duration of the period certified.
  • Must notify the employer as soon as possible when illness or some other unforeseen circumstance prevents the student’s attendance at work.
  •  Is expected to give adequate notice to employer when terminating employment .

Step 1:  FIND OR CREATE A JOB 

Search for an advertised Work Study or Work Learn job on CareerConnect  2.  Create your own job by asking potential supervisors to create an opportunity for you.

Step 2:  APPLY FOR THE JOB

Job applications usually require a cover letter and resume, whether you apply for an advertised position or create your own.  If you apply for an advertised job, follow the instructions on the posting.

  1. Eligible students apply directly through CareerConnect.  See Dates & Eligiblity to ensure that you qualify.  Students can apply for positions until they are closed. Supervisors will collect applications and hire only eligible students.

Step 3:  SUBMIT YOUR WORK STUDY OR WORK LEARN AUTHORIZATION FORMS

Once you've accepted a position,

  • You and your supervisor must complete the work study or work learn authorization form as per the instructions on the authorization form. 
  • Email the completed authorization to Deanna Simmons, On Campus Student Employment Program Coordinator UNC 325  to  deanna.simmons@ubc.ca or deliver to UNC 325.
  • You  and your supervisor will receive an email confirming your eligibility for the program.

Step 4:  MEET WITH YOUR SUPERVISOR.

 Provide necessary payroll forms to your supervisor/designated representative:

  • New Hires:  Direct deposit and TD1 forms. Rehires:  Unless information has changed students do not need to submit new TD1's or deposit form.
  • International Undergraduate students please include a copy of valid study permit and copy of valid social insurance number card. 
  • If you do not have a SIN, you and your supervisor will need to complete an employment contract and take to 471 Queensway Avenue in Kelowna to apply for a SIN.  Please contact Deanna Simmons for further details. 
  • Your supervisor is responsible to ensure that you have all the resources and information available to you.
  1.      Job responsibilities and expectations

  2.      Start and end date of the work study or work learn position

  3.      Hourly Wage and Benefits

  4.      Hourly payroll schedule and schedule for submitting hours to payroll

  5.      Department policies(eg. scheduled office hours, confidentiality)

  6.      Safety practices

Step 5:  GETTING PAID

Once you've started your job:

  • Your project supervisor must submit an Hourly Time Sheet to Financial Services stating the number of hours you worked within a given pay period.

Pay periods are from the first of the month to the fifteenth and from the sixteenth to the last day of the month. A paycheque for the hours worked from the first to the fifteenth will be available on the twenty-third of the month; hours worked from the sixteenth to the last day of the month will be paid out on the eighth of the next month. NOTE: If your Payroll Sheet is submitted late, the above schedule does not apply. For detailed information, see the Hourly Time Sheet Cut Off Schedule.
